ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Oversee property management services delivered to the Company’s healthcare real estate within the assigned property/ies recognizing that a primary focus is increasing the property’s value by maximizing income and minimizing operating expenses in the context of delivering the highest level of services, maintaining the quality of the property/asset, recognizing that Net Operating Income (NOI) is the primary indicator of building valuation.
  • Ensure that the landlord’s obligations are being met and building services are being provided according to the tenant leases.
  • If a tenant requests building services beyond those enumerated in the lease (“above-standard services”), determine whether HR will provide or furnish those as an accommodation.
  • Also determine whether to bill the tenant for above-standard services.
  • Consult with supervisor as required.
  • Establish, nurture and maintain professional relationships with hospitals, tenants and clients.
  • Respond to their requests relative to lease administration, building operations and or maintenance, always presenting a positive attitude reflecting friendly customer service.
  • Perform the human resources (“HR”) functions of hiring, firing, motivating, mentoring, and training employees.
  • Develop and manage employees to maximize their potential.
  • Ensure that management activities are performed in accordance with HR Policies and Procedures.
  • Maintain assets by investigating and resolving tenant complaints; enforcing rules of occupancy; inspecting vacancies and ensuring necessary repairs are made for future leasing prospects.
  • Plan cosmetic renovations, capital maintenance and upgrades to enhance the long-term value of the buildings.
  • Work with Chief Engineer or Maintenance Engineer to implement and maintain a comprehensive preventive maintenance program per company guidelines.
  • Prepare and administer operating and capital forecasts to achieve the company’s financial goals.
  • Update forecasts as required.
  • Manage the fiscal performance of the property to a level of profitability consistent with the approved forecast.
  • Prepare and analyze monthly financial management reports, which include the budget variance report, aged delinquencies, and financial performance report (FPR).
  • Ensure that building rent rolls are correct.
  • Monitor monthly accounts receivable and exercise the necessary actions and remedies to collect late rents and manage delinquencies.
  • Communicate proactively with supervisor regarding delinquencies and probability of collection. Pursue evictions when directed by supervisor.
  • Review and approve all accounts payable and submit timely for payment within the agreed terms to take advantage of all discounts and avoid late fees and penalties.
  • Oversee all contracted services at the buildings, including janitorial and landscaping.
  • Develop contract specifications.
  • Competitively bid and/or negotiate all building services and prepare service contracts.
  • Supervise and guide the maintenance functions and personnel to maintain the buildings in the best possible condition.
  • Ensure that maintenance requests and preventative maintenance duties are performed in a timely manner.
  • Involve maintenance staff in forecasting and monthly reporting.
  • Analyze work order data for trends to control operation costs, improve customer service and forecast capital.
  • Obtain bids and manage construction projects for tenant improvement and capital improvement projects.
  • Work with tenants, architects, and designers to prepare project scopes of work.
  • Review and understand construction drawings.
  • Prequalify and select contractors and vendors.
  • Analyze competitive bids and value engineer as needed.
  • Direct construction meetings and perform inspections.
  • Review and verify pay applications.
  • Prepare punch lists and project closeouts.
  • Bill tenant overages as needed.
  • Ensure that the portfolio is being managed in accordance with statutory real estate regulations and licenses.
  • Represent the company as a real estate sales agent or broker for licensing purposes or secure such licenses locally by other appropriate means if necessary.
  • Support and advance the company’s ESG program.
  • Proactively monitor utility consumption using available tools.
  • Operate buildings and plan capital upgrades to minimize utility consumption.
  • Respond to ad-hoc requests for information.
  • Collect data and update spreadsheets in a timely manner.
  • Perform other duties as requested by supervisor.


SUPERVISORY RESPONSIBILITIES

  • May directly supervise one or more employees at one or more locations.
  • Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
