· Oversight of 30 properties with 45 tenants
· 1 MF property in NY that will require them to manage with an onsite Building Manager but it wont' require them to be there on site.
· mis of retail, medial, industrial and MF
· building are all over the country so they need to be able to manage the portfolio from the NJ office. In time, they will want them to visit the locations and they will pay for travel costs at that time
· Yardi experience a plus
· Must have CRE background since 95% of properties are Commercial
· Talk to tenants, landlords, coordinate with vendors
· MUST be a problem solver and work well with others
· Will report to the business manager
· Year end individual and team bonus if hit goals
Boutique Real Estate Services Company is seeking a high-energy, detail-oriented Commercial Property Manager to join our team in Dover, NJ. In this role, you will serve as the operational "Command Center" for a multi-state portfolio. You will be responsible for ensuring that our properties are well-maintained, our tenants are satisfied, and our vendors are held to the highest standards—all managed through a modern tech stack (Yardi, Notion, and Google Workspace).
You will work closely with our Finance Admin (who handles CAM and billings) and our Business Manager to ensure the portfolio operates like a well-oiled machine.
The ideal candidate will be proactive, detail-oriented Property Manager who will oversee daily operations across a multi-state portfolio. They will bring deep experience in property management and real estate operations, paired with strong organizational and communication skills.This role is ideal for a candidate who thrives in a fast-paced, entrepreneurial environment and is eager to play a key role in helping scale a growing real estate services platform.
Key Responsibilities
- Command Center Operations: Manage day-to-day operations for a multi-state commercial portfolio from our Dover office.
- Remote Vendor Management: Source, vet, and supervise third-party vendors (janitorial, repair, and construction) across different states. Use digital verification (photos/video/tenant sign-offs) to ensure work is completed to standard before approving invoices.
- Tenant Relations & Communication: Act as the primary point of contact for all tenant inquiries via phone, text, and email. Document all interactions meticulously in Notion and Yardi.
- Operational Compliance: Ensure all properties meet local, state, and federal regulations, including life safety, insurance compliance, and required business registrations.
- Lease Administration: Support the full lease lifecycle—from assisting with renewals to enforcing lease terms and coordinating the move-in/move-out process.
- Finance Coordination: Collaborate daily with the Finance Admin to review tenant invoices, flag maintenance-related billables, and assist in tracking outstanding balances.
- Emergency Response: Serve as the primary on-call contact for property emergencies. This includes responding to urgent calls/texts on weekends to ensure minimal asset damage and tenant safety.
- Reporting & Systems: Support leadership in maintaining digital systems (Notion/Yardi) that drive efficiency and provide real-time updates on asset health.
Qualifications
- Experience: 3-5 years of experience in Commercial Property Management or Real Estate Operations.
- Technical Proficiency: Professional experience with Yardi (or similar platforms like AppFolio/MRI) is highly preferred. Proficiency in Google Workspace and Apple systems is required. Familiarity with Notion is a significant plus.
- Industry Knowledge: Solid understanding of commercial lease structures (NNN vs. Gross) and vendor service agreements.
- Remote Management Skills: Proven ability to manage physical assets and vendors from a distance using digital tools and clear communication.
- The "Self-Starter" Mindset: Highly organized, disciplined, and capable of managing multiple priorities independently while working within a collaborative office environment.
- Education: Bachelor’s Degree preferred; High School Diploma or GED required.
- Availability: Must be able to report to the Dover, NJ office daily and handle on-call emergency responsibilities as needed.
- Valid Driver’s License and willingness to travel to properties in NY, NJ, PA, and FL as needed.
